How can I organize my tasks into folders?

You can group your tasks into folders to help you stay organized and find the items you need to complete quickly.  Inside a space on the Tasks tab, open the left navigation pane by selecting the (>) directly next to the filtering options. Note: Only space owners can create, delete, rename, and reorder folders.  Space members can add items to the folders to help maintain organization within the space.

To create a new task folder: Click the “Add folder” link.  You will then have the opportunity to name your folder.  You can create as many folders as you’d like.  Everyone in the space will see the task folders and can move tasks that they have access to.

To move tasks into a folder: Drag and drop!  Left-click on the task name from the middle section and hold the click as you move the mouse to the folder name.  The folder name will highlight to indicate where the task will go.  Release the click and the task will be in the new folder.  Repeat the process for all tasks you want to move into folders.  You will also be able to assign a new task to an existing folder when you create it.

To view tasks in a folder: Click on the task folder name on the left side.  This will pull up a list of only the tasks that are part of that folder.  Click the green [+] button to add a new task will automatically add the task into the open folder.

To delete a task folder: From the space’s Tasks tab, select the (>) symbol to the left of the filtering options to open the folder navigation pane.  Locate the list you would like to delete and mouse over the folder count in the right corner.  An arrow will appear to the right of the folder count.  Click the arrow to open a drop-down menu and select Delete. 

To rename a task folder: From the space’s Tasks tab, select the (>) symbol to the left of the filtering options to open the folder navigation pane.  Locate the folder you would like to rename and mouse over the folder count in the right corner.  An arrow will appear to the right of the folder count.  Click the arrow to open a drop-down menu and select Rename.

To reorder task folders: On the Tasks tab, the folders can be re-ordered from the middle pane where all the tasks are listed.  Under the + sign to add a new task, make sure the sort is set to “Manual.”  Then choose “All” from the All/Favorites/My Tasks/Active/Completed views so you can get a full list of all your folders.  From the list of folders on the left side, choose “All tasks.”  At this point, you can drag and drop the folders (as shown highlighted in yellow) in the middle section into the order you want.

    I used to see that (<) arrow for task list and all my lists, but it's not there anymore. Is there something I need to enable?

    Hi Steven,

    The arrow is only available from within a space, not My Kona.  You should see it if you go in to the Intrinsic Fall 2012 space.  Thanks for the screenshot!

    How can you see just the active tasks on the iphone app?  I am seeing all tasks including completed tasks.

    Hi Dayna,

    Currently the app has options for "All Tasks", "Due Today", "Priority Tasks", and "Overdue Tasks".  You can access these choices by clicking on the intersecting arrows at the top of the Tasks tab.  The new version of the mobile app, which is scheduled to be available in January 2013, will allow you to easily filter out the completed tasks.

    On the mobile app, how can I just show tasks from a specific task list (folder)? There is a pull down selection associated with the folder icon but the only choices are "all tasks" and "tasks not in a list".

    Hi Rob,

    The pull down with the folder icon (when in a space) is normally where you would see the task folders listed. You could select one and just see tasks in that specific folder. However, it is a defect that the other task folders are not showing currently. It's been reported to development for correction in a future app release.
